Helpful Tips for Setting Up Your QuickBooks Online Account

QuickBooks Online is a great program that offers many automation features to help you save time and stay organized.

Banking Transactions:

One of QBO’s key features is bank feeds, which automatically downloads transactions from your bank. All the bookkeeper needs to do is review them and enter the correct accounts or simply accept them if rules have already been created.

Enable QuickBooks Payments

With QuickBooks Payments your customers can pay invoices directly using a credit card via secure link in the invoice email. This makes it easier for clients to pay on time and helps you get paid faster.

If you are switching to QuickBooks Online from another accounting system (like QuickBooks Desktop)  the QBO team can assist with migrating your data smoothly.

Here are a few things to keep in mind when setting up a new account:

  • Turn off automatic credit application
    Go to: Settings > Advanced > Automation
    Toggle off “Automatically applies credits”. This ensure you manually apply customer credits to the correct invoice, avoiding confusion.
  • Enable duplicate bill number warnings
    Go to: Settings > Advanced > Other Preferences
    Toggle on the warning for duplicate bill numbers to prevent entry errors.
    While in settings, I also recommend changing “Sign me out if inactive” to the maximum, which is 3 hours.
  • Remove the tax summary from invoices
    If you’re using QBO’s invoice template, it includes a tax summary displayed underneath the main invoice information.
    The subtotal is prominently featured here.  This can confuse customers to pay the subtotal  rather than the grand total including tax.
    To remove it:
    Settings > Custom Form Styles > Content.

 

 

  • Click on the pencil icon on the bottom section of the invoice and uncheck “Tax Summary”.
